THE 5 QUESTIONS TO ASK BEFORE ORGANIZING A PARTY

Have you ever heard of Five Double U? (In Italian it would be the 5 Vu double).

In the original language they sound like WHO, WHY, WHAT, WHEN, WHERE.

 

We borrow these basic rules of the Anglo-Saxon journalistic style, adapting and applying them to our Party theme to arrive – in Italian – at the WHAT, WHO, WHEN, WHERE, HOW.

You could use these 5 questions as a guideline for brainstorming before throwing a party.

But let’s start in order:

1. WHAT? what do you want to celebrate? A birthday, a degree? The bachelorette party or the wedding; the goals achieved by your company, involving all collaborators. You will already have a clear WHAT and so you can draw up a list of

2. WHO to invite. Whatever event you’re celebrating, you’ll first need to make a list of people you’d like to be there. And decide if the party will have a familiar, friendly, shambles line? professional or institutional.

Also take into account the number of very old people and children. Both have very specific needs.

Once you have outlined the number and type of people you want to invite, you will immediately have a clearer picture of the party, and therefore also the compatibility with the place where you plan to hold it.

3. WHEN: the date is important. And in relation to the type of event, and the time it takes place, it can greatly affect WHO will be able to participate.

Always consider the needs of the majority of your guests: evaluate the positive or negative sides of an invitation during holidays or bridges, or weekdays for some cases. Try to avoid overlapping with popular sporting events (derby, cup finals, World Cup, European Championships) or other events of national or religious interest. Furthermore, the date and time may affect the costs of the location if provided.

4. WHERE now you have clearer ideas on many points. You can focus on the location: is it your home, an acquaintance’s, a villa taken for the occasion or a public place where you reserve a space?

At home you will have to adopt a series of measures for spaces, food and beverage service, other measures if it will be on the beach, in a pine forest, in a park. Otherwise you will look for a suitable structure to host your event, from which you will ask for the spaces offered, whether exclusive or shared, any rules or restrictions, the services offered included and those excluded, the target of the venue (style, attendance) that is compatible based on the type of party you will have (I would avoid having a 60th birthday party in a place frequented by minors or teenagers, and vice versa). With these basic data, you will be able to arrive at the

5. HOW did you imagine this party? based on the choice of WHAT, WHO, WHEN and WHERE you will be able to think about the services you have provided. Also to get to consider a realistic spending budget. The items to be analyzed will be Food & Beverage (very different in implementation based on the choice of place and number of guests, usually with an inversely proportional cost per person), set-ups, theme, music and entertainment. In this way you will also be able to compare your budget with the costs of the choices and decide whether to add something or eliminate it.
